The Challenge

Produce a feature-length documentary under the rigorous standards of the Department of Film and Publication (DFP). The production involved multiple departments — camera, sound, lighting, art, and production — all needing coordination in unpredictable real-world environments. Documentary subjects don't follow call sheets, and the AD needed to be ready for every scenario.

The Solution

  • Joined pre-production from the first meeting, translating creative vision into actionable production documents — breakdown sheets, shot lists, and crew call sheets
  • Built 'Plan A / Plan B' schedules that let the crew pivot without losing a shooting day — essential for documentary production where subject availability is unpredictable
  • Managed cross-departmental communication — ensuring the director, camera team, sound operators, and production assistants were synchronized at every moment
  • Executed shot-list management in live environments — tracking which setups were completed, which needed reshoots, and which had to be abandoned due to changing conditions
  • Participated in post-production handoff — organizing footage with timecode logs, transferring production notes to the editing team, and scheduling pickup shots

Key Decisions

  • Flexible scheduling over rigid call sheets — documentaries require adaptability, not strict adherence to a timetable
  • Real-time documentation — every production decision was logged immediately so the edit team had complete context

Results

  • Successful lifecycle completion from pre-production through post-production handoff
  • All departments operated without scheduling conflicts despite live-environment unpredictability
  • Post-production team received organized footage with complete production notes — no lost time re-organizing raw material
His organizational discipline kept the production on track when everything around us was chaos. Having him from day one made a measurable difference in how smoothly the shoot ran.
